More about Member Ids, unfinished/unplayed sets. The away team to ‘confirm’ the result which the home team entered.

2         Background

This summer we are trialling an additional results process for the ADLTA league senior leagues. Whilst the tried and trusted method of sending cards in is still the official way to do things, we are introducing a web-based system whereby full results can be entered directly into the LTA website. The aim is to eventually do away with having to send in results cards.

For this summer at least we are continuing as per usual with the card system for recording match results, and this will remain 'the official system’ for recording results until we are all more comfortable with the new system. So as a minimum, this summer and next winter the two systems will run in parallel.

The web-based system we've chosen to use is the LTA's League Planner.

We have set up the league, the clubs, the divisions, the fixtures (with a default fixture date) and (in most cases) added players from lists received from your fixture secretaries. The fixture secretaries, having agreed dates at the fixture meeting are/will be updating the default date (
26-04-10) to the correct fixture dates.

So where do you come in?

Well your job is to enter your home results on match day, or as soon as possible afterwards, directly into the LTA website. This will automatically update the league tables and statistics etc etc.

For this season at least you still send your match cards to Keith, Sam or Jackie, and they will deal with any disputes you have re non-web related issues. As far as entering your results and using the website in general, then Laura Williams and Chris Iles are available to help you.

So, this is your link to get to the website.

http://lta.tournamentsoftware.com/member/login.aspx

Once there you will need your club userid and password, which your fixture secretary, or Laura or Chris, can supply.

Please don't change the password.

4          QUESTIONS AND ANSWERS

4.1      What is a member number?

A ‘British Tennis Membership number’ or BTM No..

To find a player’s British Tennis Membership number you can\use the player search function at www.lta.org.uk/Search/PlayerSearch/.

Players don’t require a BTM number to compete in our leagues but if you have one please use it. Otherwise the suggestion is to use Surname + 01, eg SMITH01, SMITH02. This should only be required if you are entering new players during the course of entering a result.

Please don’t try and concoct a fake BTM No., one which looks like a real one, ie all numerics as it will confuse the LTA’s main system.

Ideally, if you have a BTM No., we’d prefer it, even if a dummy number has been used.

4.2      Where did the UserId come from?

This is allocated by the LTA.

4.3      Why have we doubled the points?

The website doesn’t cater for half points so we have set it up to allocate 2 points per set to allow for a halved set.

4.4      Can players see how the teams are getting on?

You need a UserId to log into the system and enter (or confirm) a result, but anyone can go to the website and look at the results without the need to log in.

Just search for tournament ‘ADLTA’.

4.5      Which way round do we enter a score?

Home team scores must be entered first (e.g. an away win is recorded 4-6)

4.6      How do we record tie breaks?

Tiebreak scores are not recorded; just the games total (e.g. 7-6)

4.7      Can I change a match date?

Yes.  When you go to enter a result and see that the date needs changing you can do this by clicking on the ‘reschedule match’ button.

4.8       How do I enter the result if we play before the fixed date?

See above

4.9      What a player I want to select isn’t on the drop down list?

When you click on <select player> you will be shown a drop down list all the players who are allocated to your team squad. The player you want may be in your ‘club’ list but just not yet allocated to your team squad, and therefore won’t be displayed.

So first of all let’s see if the system has them in your club list.

Click ‘ADD PLAYER’ button.

A box will pop up with the club-list of players for you to choose from. This box will already have a ‘Select Players’ option highlighted and a list of players displayed.

Is the player you want in here?

If so, highlight the name and click ‘OK’.

This will add them to your team squad and so make them available for selection for the rubber, under the original <select player>option.

If they are not in the list then you may be able to add them. Just to the right of the ‘Select Players’ button is an ‘Add New Player’ button. Click on this.

You will be able to add a player if it is for the home team, but not the away team. If the player you wanted was from the away team you will need to use the ‘dummy player’ for this. Please then put the real name in the comments box and we can add it for you. If the player you want is a home tesm player then go ahead and add them. This adds them to the club-list. You will then need to select them for the team squad.  .

NB: You ought to be able to add players at any time but this season you have not been able to, other than when entering a result. We hope that the inability to do this will be with us by next season. In the meantime, if you know of any names which need adding, let Laura or Chris know.

4.10 What if a set is unfinished/unplayed?

Add the names of the players who played in it or would have played in it.

Select the result of  ‘unplayed no players’

Set the result to 5-5, or if the actual score was tied when the set was halted use that.

In this way the system will allocate a drawn set and give each team a point.

Please use the comments box to record the real set score if it doesn’t match the score entered. These games may be important in the case of a countback.

4.11What does the error message about gender mean?

In the Mixed league the Mens name should be entered above the Ladies. (sorry – it has to be one way or the other)

4.12 What if we are given (or give) a walkover?

If a team concedes the match (and no agreement is made to reschedule) then the match is awarded to the other team and the result is entered using the ‘Enter Team Result’ option as opposed to the ‘Enter Rubber Result’ option.  Please follow the process below:

1.       Follow steps 1-7 of the ‘BOTH’ captain’s process

2.       Click ‘Enter Team Result’

3.       Enter the winner and the score as per your league rules, ie 6-0 sets

4.       Click ‘save’

The HOME team is still responsible for entering this result.

4.13 What if the match is abandoned?

If it needs to be replayed, don’t record the result on the website. Your fixture secretary will re-schedule the match as per usual and update the match fixture date.
